Oral Presentation Guidelines
To ensure that the content of the papers are shared effectively with all participants, below are some guidelines to help you prepare your presentation and if you require further assistance after reviewing this information, please email your question to congress secretariat Mr. Jayson Su at 2010ASPR@gisgroup.com
GENERAL INSTRUCTIONS
- The Free Paper Sessions are consisted of 6-7 papers per session. The length or one oral presentation is of maximum 8 minutes followed by 2-3 minutes of discussions (The courtesy of staying within your allotted time will assure presenters equal time on the program and allow the audience the opportunity to ask questions. Questions that the audience may wish to ask after the allotted time has elapsed may be asked after the presentation, during the coffee break and networking sessions).
- Presentations must start and end ON TIME, NO EXCEPTIONS, because they are coordinated with the other concurrent sessions.
PRESENTATION SUBMISSION
All oral presentations MUST be in MS PowerPoint format. We would appreciate you submitting your presentation in advance of the congress.
- Presentation medium: English
- Only PowerPoint presentation made in Microsoft Office PowerPoint 2007 or earlier versions can be accepted.
- Pictures and animation links to the Internet will NOT be accessible.
- Powerpoint presentation file submission deadline: April 02, 2010. Make sure to send your presentation to Mr. Jayson Su via email at 2010ASPR@gisgroup.com before the deadline.
- Ensure your presentation title, name and presentation date/time are included in your email
- The subject line of your email should be: ASPR 2010 (Abstract Code + Name of Presenter)
- To avoid disruption of the Technical Session, please bring a back up of your presentation either in CD or in USB drive, just in case unavoidable technical glitches occur.
- To avoid time-consuming switching from one laptop to another, presenters will not be allowed to use their own laptops, unless it is absolutely necessary
EQUIPMENT AND ROOM SETUP
The meeting rooms are set up in theater style seating (no tables, just rows of chairs). Each room is equipped with a standard audiovisual package that will support an electronic presentation. The package includes Laptops (with Window XP), LDC Projector, Projector Stand, Screen, Power Cord, VGA Switcher, Microphones, Wireless remotes and Laser Pointer.
NOTE: The complexities of software compatibility are such that the conference is unable to guarantee that your presentation will be delivered correctly if your presentation uses features such as embedded animations, video clips and sound.
SPEAKER READY ROOM
The Speaker Ready Room has been arranged at the congress sites which allow presenters the opportunity to view their presentations and to obtain any technical support they might require prior to their scheduled session. You must check-in with the Speaker Ready Room and review your presentation one day prior to your scheduled presentation time.
PRESENTING
Please arrive at your session meeting room at least 15 minutes before the session begins. Take time to familiarize yourself with the set-up at the lectern. You will control/advance the slides during your presentation. We have arranged to have technicians floating between session rooms to assist as needed. These technicians will be wearing special badges so they are easily identified.
REGISTRATION
A reduced registration rate will be available to presenter as long as you register before March 12, 2010. If you register after this date you will not be eligible for the discounted rate. Please note YOU CAN NOT PRESENT WITHOUT REGISTERING FOR THE CONFERENCE.
IF YOU CANNOT BE THERE
If, subsequent to your planning, you find that you are unable to present your paper, it is never too late to let someone know. Please try to find someone else to make the presentation and inform Organizing Committee and/or Congress Secretariat at the earliest opportunity. The Congress Secretariat will keep a register of any who failed to notify them of their non-attendance.
